The Challenge
With a growing team and ongoing projects, the Teams environment had grown organically.
Teams were created as needed, and a structured archiving or cleanup process was not yet in place.
Sieber Partners wanted to bring order: unified naming conventions, clear owner responsibilities, lifecycle rules, and a consistent permissions model.

Our Solution
We started with a full inventory of all teams: owners, members, last activity, guest accounts. Then defined a governance policy: unified naming conventions with prefixes for project type and client, lifecycle rules with automatic inactivity checks after 90 days, and a structured archiving process.
Power Automate handles owner notifications and automatic archiving of expired teams. Teams templates for the most common project types ensure new teams are correctly structured from day one.

The Result
38 outdated teams archived, naming violations reduced to zero. New teams are only created from approved templates. The consulting team finds project materials directly – without having to search through the wrong environment.
