FAQ

What is a SharePoint Health Check?

A SharePoint Health Check is a structured assessment of a Microsoft 365 tenant's SharePoint environment: governance configuration, security settings, usage statistics, storage efficiency, search configuration and compliance posture. CNEXT delivers a written health check report with a prioritised RAG (Red/Amber/Green) status and action plan.

What does a CNEXT SharePoint Health Check cover?

CNEXT SharePoint Health Check areas: (1) Governance (site creation policy, naming, lifecycle, permissions model). (2) Security (external sharing settings, DLP, Sensitivity Labels, Conditional Access). (3) Storage (top 20 largest sites, version history waste, recovery opportunities via SharePoint Storage Monster). (4) Search (managed properties, refiners, search analytics). (5) Adoption (usage per site, active/inactive sites). (6) Compliance (retention policies, eDiscovery readiness, FADP posture).

How long does a SharePoint Health Check take?

CNEXT SharePoint Health Check: 2–3 days of assessment (remote access to M365 admin tenant required), 2–3 days of report writing. Total: typically 1 week from access to delivered report. For larger tenants (1,000+ users, 100+ site collections), allow 2 weeks. The report is 15–25 pages with an executive summary and detailed findings by area.

How much does a SharePoint Health Check cost?

CNEXT SharePoint Health Check: CHF 3,500 (tenants up to 200 users), CHF 5,500 (200–1,000 users), CHF 8,500 (1,000+ users). Includes written report, executive summary and a 60-minute findings presentation. For managed service clients, an annual health check is included in the contract.

What access does CNEXT need for the health check?

CNEXT needs: SharePoint Administrator role (read-only to all sites), Global Reader role (read-only to tenant settings), access to the Microsoft 365 Admin Centre and SharePoint Admin Centre. No changes are made during the health check – it is a read-only assessment. CNEXT signs an NDA and DPA before starting.

What is SharePoint Storage Monster and how does it help?

SharePoint Storage Monster (sharepoint-storage-monster.com) is a CNEXT SaaS tool that scans a SharePoint tenant and identifies storage waste: duplicate files, oversized version histories, unused site collections and file types that could be archived. Swiss clients typically reclaim 40–60% of their SharePoint storage, reducing M365 storage overage costs.

What are the most common SharePoint health issues CNEXT finds?

Top findings from CNEXT health checks: (1) No site lifecycle policy (300+ abandoned sites common in 500-user tenants). (2) 'Everyone except external users' used as site member (FADP risk). (3) Anonymous sharing links enabled for the whole tenant. (4) No retention policies configured. (5) Version history not limited (sites with 100+ versions per file, massive storage waste). (6) Search not configured beyond defaults.

Does the health check include FADP compliance assessment?

Yes. CNEXT SharePoint Health Checks always include a FADP posture section: data residency verification (Switzerland North confirmed?), Sensitivity Label coverage (what % of sites have a Sensitivity Label?), DLP policy coverage, external sharing settings, guest access expiry configuration and retention policy gaps. The FADP section includes a compliance risk rating.

Can a SharePoint Health Check be done remotely?

Yes. All CNEXT SharePoint Health Checks are conducted remotely: CNEXT receives temporary Global Reader + SharePoint Admin access to the tenant, runs PowerShell scripts and M365 Admin Centre reports, analyses findings and delivers the report via email. No on-site visit required. CNEXT works fully within the Swiss data boundary.

What happens after the health check?

After the health check: CNEXT presents findings and recommendations in a 60-minute Teams meeting. For each finding, CNEXT indicates: effort to fix (hours), priority (critical/high/medium/low) and whether CNEXT can fix it (with a cost estimate). The client decides which items to address independently vs. with CNEXT support.
