The Challenge
As the team and project count grew over the years, the SharePoint tenant had grown organically. Sites were created as projects started, and OneDrive data from former employees had accumulated.
Documents were in some cases stored both on personal OneDrives and in team libraries. Sieber Partners wanted to clean up the tenant and put clear lifecycle rules in place for the future.

Our Solution
We started with a full storage heatmap: consumption per site, OneDrive sizes, activity data for the past 90 days.
Then controlled cleanup waves: orphaned OneDrives archived, inactive sites validated with owners and deprovisioned, duplicates consolidated.
In parallel, we introduced governance guardrails: a site lifecycle policy, retention rules via Microsoft Purview, naming conventions, and a site request process for new repositories.

The Result
Storage reduced by 40%, over 20 orphaned sites cleaned up, retention rules set for all active libraries. New sites are only created through an approved process – with a defined owner and lifecycle from day one.
