The Challenge
BZ Pflege employs several hundred care professionals across multiple locations. Personnel files were stored on network drives and in various disconnected systems – some in HR software, some in shared folders, some in individual inboxes.
This fragmentation created compliance risks: sensitive personnel data was not consistently protected, access rights were unclear, and onboarding/offboarding processes required manual steps across multiple locations. The HR team wanted a unified, data-protection-compliant solution with clear retention rules and automated lifecycle management.

Our Solution
We built digital HR dossiers on SharePoint Online as the single source of truth for all personnel records. Each dossier is automatically created when a new employee joins, pre-populated with data from the HR system.
Sensitivity labels protect confidential personnel data (salary, medical records, disciplinary notes) with restricted access. Retention labels enforce legally compliant retention periods automatically.
Permissions are granularly controlled by role: HR full access, managers view-only for their team, employees self-service for their own data. Power Automate workflows handle approval chains for changes and trigger notifications for pending reviews.

All personnel records are now centralized, structured, and fully compliant with Swiss data protection requirements.
Manual effort at onboarding and offboarding has dropped by over 70%.
The HR team has a complete audit trail of every access and change.
Managers can quickly find the information they need for their team.
During audits, every record is immediately retrievable with full history.
