The Challenge
BZ Pflege operates a large vocational training program with hundreds of students across multiple campuses. Timetables were distributed as static PDFs via email to students, instructors, and administrative staff.
Any schedule change – a room swap, instructor substitution, or course cancellation – required manual PDF updates and re-distribution, often leading to confusion when participants checked outdated versions. The administrative team spent hours each week on manual timetable management.
Students missed classes because they didn't receive updates in time. Instructors arrived at wrong rooms.
The process was unsustainable.

Our Solution
We built a dynamic timetable solution on Power Platform integrated with the central BZ Pflege API.
The Power App pulls class, course, and staff data directly from ESCADA (the student management system) every 15 minutes.
Timetables are rendered dynamically and displayed in the right Microsoft Teams channels and SharePoint pages for each audience group – students see their personal schedule, instructors see their teaching load, administrators see the full overview.
Changes in ESCADA trigger automatic notifications via Teams and email to affected participants.
A mobile-responsive interface lets everyone check their schedule on any device.

The Result
All participants now have real-time access to current timetables on any device.
Schedule changes are communicated automatically within minutes, eliminating the PDF distribution bottleneck.
Administrative workload for timetable management has dropped by over 80%.
Student attendance has improved because everyone sees the same, current information.
Instructors and students appreciate the mobile accessibility during campus commutes.
