The Challenge
The Education and Culture Directorate (BKD) of Canton of Bern needs reliable school data every day: school locations, governing bodies, student numbers, responsibilities, programmes by level. This information was distributed across SAP, Excel files on various drives, a legacy specialist application, and several Access databases.
Each unit maintained its own view of the same underlying data – with different versions. A simple question like 'Which schools in Canton of Bern offer special needs classes?' required manual research across multiple systems and took hours.

Our Solution
We built a central school data model in Microsoft Dataverse.
All relevant entities – schools, locations, school levels, programmes, governing bodies, contacts – are modelled as linked records.
A Model Driven App gives BKD case workers structured access for data maintenance and queries.
Role-based permissions control who can view and edit which data.
Power Automate synchronizes data from SAP automatically into the central Dataverse pool.

The Result
Over 400 schools and their master data centrally recorded. Data queries that used to take hours now run in under 2 minutes.
Inconsistencies between parallel sources are eliminated. The BKD has a single, authoritative data source for all school statistics and reporting for the first time.
