The Challenge
The Radiology department's QMS had been running on Classic SharePoint – a platform since superseded by modern technology. Approvals ran by email, and quality-relevant documents including SOPs, work instructions, checklists, and device inspection and maintenance records for X-ray and imaging equipment were scattered across uncoordinated storage locations.
With over 1,000 quality-critical documents to migrate, a simple lift-and-shift wasn't viable. The entire information architecture and approval processes needed to be rethought from scratch to reliably meet audit and ISO 9001 requirements.

Our Solution
We worked with the Radiology QM team to design and build a completely new QMS platform on SharePoint Subscription Edition (on-premises). Clear information architecture with separated document types: SOPs, work instructions, checklists, device inspection records, and maintenance reports.
The full document lifecycle – draft, specialist review, QM approval, publication, and re-review cycle – runs through CNEXT SharePoint Approvals with Power Automate as the workflow engine. All 1,000+ documents were migrated from the Classic portal with a cleaned-up metadata structure, with version conflicts resolved manually.
Full versioning provides a complete audit trail. Compliance status is reported in a Power BI dashboard for QM managers.
We closed the project with multi-day superuser training so the QM team can operate and develop the platform independently.

The Result
Inselspital Radiology now runs a modern, ISO-9001-compliant QMS on SharePoint Subscription Edition.
Over 1,000 quality-relevant documents are structured, findable, and fully versioned.
Approvals run through CNEXT SharePoint Approvals – documented, traceable, and no more email threads.
The current compliance status is visible in the Power BI dashboard at any time.
The internal QM team runs the platform on their own.
